1. Modes of Cooperation

The supplier must provide a complete set of export qualifications and Pakistan import compliance documents. Upon approval by our party, a formal procurement contract will be signed;

Payment method: Bank settlement, with staged payments as per the contract (advance payment + delivery payment + retention payment);

Delivery requirements: CIF Karachi Port, with the supplier responsible for all logistics, customs declaration, clearance, insurance, and related procedures;

Acceptance criteria: The goods shall be inspected and accepted based on the quality parameters stipulated in the contract. The supplier must provide an ex-factory inspection report, and the inspection shall be completed within 7 days after the goods arrive at the port.

2. Core Requirements

Qualification Compliance: Export License Certificate and documents required for Pakistani import clearance (such as Certificate of Origin, Packing List, Commercial Invoice, etc.) must be provided;

Quality Assurance: The product must comply with international emergency rescue standards, provide a third-party quality inspection report, and have a warranty period of no less than one year;

Delivery Period: All goods shall be completed, packaged, and delivered to the Port of Karachi within 30 days after the contract is signed;

Packaging Specifications: Use pressure-resistant, moisture-proof, and shockproof packaging. Clearly label the material name, specifications, quantity, batch number, and “Emergency Supplies” identification on the outer box;

Price requirement: The quotation shall be the CIF unit price for the Port of Karachi, including all costs such as cargo, freight, insurance, and customs clearance fees.

3. Required Documents to be Submitted by Suppliers

Enterprise Qualification Documents: Copy of Business License (with official seal), Import and Export Business License, Industry-related Production/Operation Permits;

Product documentation: product manuals, technical parameter sheets, third-party quality inspection reports, international certification certificates (if applicable), and product physical images;

Quotation Document: Detailed Quotation (must specify unit price, total price, and cost breakdown), Delivery Timeline Commitment Letter, Payment Method Proposal;

Service Plan: Product Warranty Plan, After-Sales Service Process (including overseas repair/replacement mechanism), Emergency Replenishment Response Plan;

Performance Certificate: Export cases of similar emergency supplies within the past 2 years (provide copies of key contract pages or customer acceptance certificates).

4. Compliance and Risk Warnings

It is strictly prohibited to provide counterfeit, substandard, or inferior products. If quality issues are discovered during inspection, the supplier must unconditionally return the goods and bear all losses;

The supplier shall strictly comply with Pakistan’s import control policies and relevant international trade regulations. Any delays in customs clearance due to incomplete or non-compliant documentation shall be the supplier’s responsibility;

Delivery Delay Penalty: For each calendar day of delay, a penalty of 0.5% of the total contract amount shall be paid. If the delay exceeds 15 days, our party has the right to terminate the contract;

The materials must be adapted to the tropical climate of Pakistan, featuring characteristics such as heat resistance, moisture-proofing, and anti-aging. The environmental adaptation parameters must be clearly specified in the quotation.
